Reaching out to a therapist often means sharing something personal, so I want you to know exactly what happens to your information. This page explains what I collect through this website, how I use it, and the choices you have.

Who I am

This website is run by Madison Jacoby, a BACP-registered psychotherapist working in London and online across the UK. I am the "data controller" for any personal information collected through this site, which means I decide how it is used and I'm responsible for keeping it safe.

I am registered with the Information Commissioner's Office (ICO), registration number 808634.

If you have any questions about your data, you can email me at MadisonJacobyTherapy@proton.me.

What this policy covers

This policy covers information collected through this website, the booking tool and email enquiries. If we go on to work together, I'll share a separate client agreement explaining how I keep session notes and records.

What information I collect

Information you give me. When you email me or book a call or session, I collect your name, email address and phone number, plus anything you choose to share about why you're getting in touch. Because this can include information about your mental or physical health, it is treated as "special category" data under UK data protection law and handled with extra care.

Information collected automatically. When you visit the site, some basic information may be collected through cookies, such as the pages you visit and the type of device you use. See the Cookies section below.

How I use your information

I only use your information to:

  • Respond to your enquiry

  • Arrange an intro call or first session

  • Manage appointments and payments if we work together

I don't use your details for marketing, and I will never sell or share your information for anyone else's marketing. If I ever start a newsletter, I will only add you with your clear permission.

The legal basis for using your information

I use your contact details because it is necessary to respond to your enquiry and to arrange sessions you've asked for. Where you share health information, I process it because it is needed to provide therapy, in line with my professional and confidentiality obligations.

Who I share it with

I don't share your information with anyone else, except the trusted services that help me run my practice:

  • Wix hosts this website

  • Cal.com manages bookings

  • Proton Mail provides end-to-end encrypted email

  • Zoom for online sessions

Some of these providers may store data outside the UK. Where this happens, they are required to protect it to UK standards.

I may need to share information without your consent in rare situations, for example if there is a serious risk to your safety or someone else's, or if I am required to by law. Wherever possible, I would talk to you first.

Keeping your information safe

Emails are sent through Proton Mail, which offers end-to-end encryption. My devices and accounts are password-protected with two-factor authentication, and I only keep the information I need.

How long I keep it

If you get in touch but we don't go on to work together, I'll delete your details within 6 months. If we do work together, your records are kept for seven years after therapy ends, in line with professional and legal guidance.

Your rights

You have the right to:

  • Ask for a copy of the information I hold about you

  • Ask me to correct anything that's inaccurate

  • Ask me to delete your information

  • Ask me to limit how I use it, or object to me using it

  • Ask for your information to be transferred to someone else

  • Withdraw your consent at any time, where I rely on it

To make a request, email me at MadisonJacobyTherapy@proton.me. I'll respond within one month, and there's no charge.

If you're unhappy with how I've handled your information, you can contact the Information Commissioner's Office at ico.org.uk.

Cookies

Cookies are small text files saved to your device when you visit a website. This site uses two types:

  • Essential cookies, set by Wix, which help the site work properly and securely. These are always on.

  • Analytics cookies, which show me how visitors use the site, such as which pages are most visited. This information is anonymous and doesn't identify you. These are only used if you agree to them.

When you first visit, a banner will ask whether you're happy to accept non-essential cookies. You can change your mind at any time by clicking "Cookie settings" button at the bottom left of the page, or by adjusting your browser settings. Turning off essential cookies may stop parts of the site from working. You can find more about managing cookies at aboutcookies.org.

This site links to other websites, including Instagram and my booking page. They have their own privacy policies, and I'm not responsible for how they handle your information.
